1 What are Document Stores?

Document stores are used as containers to organize documents related to IssueNet items. In order to attach documents to IssueNet items, at least one document store must be created, however depending on the organization; multiple document stores may be used. For example, a document store may be created for items such as procedures while a separate document store may be used for requirements or Quality Assurance. There are 3 types of document stores that can be created:
  1. Native Document Stores- Native document stores are created in the IssueNet database. The IssueNet administrator is responsible for creating the document stores, and may optionally pre-populate the document store.
  2. SharePoint Document Stores- SharePoint document stores allows the IssueNet Administrator to link a Document Store to an existing Microsoft SharePoint document library.
  3. File Share Document Stores-

2 Native Document Stores

Native document stores are used to organize documents and URL’s related to IssueNet items. Attached documents are either embedded in the database, or a link is created to the location of the document. If a document is embedded in the database, it must be fetched from the database before it can be edited by IssueNet users. If a document is linked to the items, it can be edited in place by IssueNet users.

Additionally the IssueNet Administrator may add documents, screen captures or URL’s to the store. ScreenCap

2.1 Creating a Native Document Store

  1. In the Data Source Explorer right-click the Document Store button and select New Native Document Store or select File|New|Document Store|Native Document Store
  2. Enter a Name for the Document Store
  3. (Optional) Enter a Description of the Document Store
  4. (Optional) Selecting Allow linking of file system objects will allow users to optionally create a link to the location of the document rather than uploading it to the IssueNet database
  5. (Optional) On the Documents tab, pre-populate the document store.
  6. Select Actions|Update or click the Update button to create the Document Store

2.2 Adding Documents

  1. In the Data Source Explorer click the Document Store button
  2. In the right-hand pane double-click the Native Document Store where documents will be added
  3. Select the Documents tab and click Add
  4. Select Add File
  5. Click Browse to locate the file
  6. (Optional) Add Description to the file
  7. Click OK
  8. Select Actions|Update or click the Update button

2.3 Adding URL’s

  1. In the Data Source Explorer click the Document Store button
  2. In the right-hand pane double-click the Native Document Store where documents will be added
  3. Select the Documents tab and click Add
  4. Select Add URL
  5. Enter the URL
  6. (Optional) Add Description to the file
  7. Click OK
  8. Select Actions|Update or click the Update button

2.4 Adding Screen Captures

  1. In the Data Source Explorer click the Document Store button
  2. In the right-hand pane double-click the Native Document Store where the screen capture will be added
  3. Select the Documents tab and click Add
  4. Select Add Capture
  5. Enter a Name for the capture
  6. Select the Format for the capture
  7. Select the Window you wish to capture and click OK
  8. Click OK to dismiss the Add Documents dialog
  9. Select Actions|Update or click the Update button

3 SharePoint Document Stores

IssueNet provides integration with Microsoft SharePoint services. This allows the IssueNet Administrator to link a Document Store to an existing Microsoft SharePoint document library.

3.1 Creating a SharePoint Document Store

  1. From the Data Source Explorer, right-click the Document Stores button and select New SharePoint Document Store OR select File|New|Document Store|SharePoint Document Store
  2. Enter a Name for the Document Store
  3. Provide the URL for the Document Store
  4. Provide the Library Name
  5. Enter a UserID and corresponding Password that has access to the Document Store
  6. Click Test Connection to verify connectivity with the SharePoint server
  7. (Optional) Enter a Description of the SharePoint Document Store
